Understanding Staff Coverage Reports

Learn how RotaChief calculates Good, Low, and Gap coverage — and where you'll see it.

Every day on your roster shows a coverage indicator, based on how many staff are scheduled compared to your location's daily staffing target.

How it's calculated

  • Good — the day meets or exceeds your staffing target
  • Low — the day is at 80–99% of your target (thin, but close)
  • Gap — the day is below 80% of your target (a real shortfall worth addressing)

If your location has no staffing target set, every day shows as Good by default.

One calculation, used everywhere

The same coverage calculation is used consistently across RotaChief — the weekly roster grid, the monthly view, your dashboard, Insights, and the Coverage Report on the Insights page. If one place says "Gap," every other place will show the same thing for that day.

Days off and closed days don't count against you

A staff member's approved day off, or a location's closed day, is never counted as a coverage gap — only genuine understaffing relative to your target affects the color.
