How PIN Clock-In Works

Set up your attendance kiosk and learn how staff clock in and out with a personal PIN.

RotaChief's clock-in system works entirely through a web browser — no app download required for you or your staff.

Setting up a kiosk device

  1. On the device you want to use (a tablet, or a staff member's own phone — either works the same way), log in with your manager account at the kiosk setup page.
  2. Choose which location this device belongs to.
  3. Once activated, the device is ready — staff can clock in and out on it without logging in themselves.

You only need to do this once per device.

Getting back to a closed kiosk

If the kiosk tab was closed, open rotachief.com/kiosk on that same device. If the device is still activated, you'll go straight back to the clock-in screen. If it was never activated or has been revoked, you'll be guided to set it up again.

If someone else needs to reopen the kiosk on that device (for example from a different browser), a manager can generate a short-lived reactivation link from Kiosk Devices in the dashboard and send it to whoever is physically there. The link restores that device's existing session — it does not create a new kiosk device.

How staff clock in

Staff enter their personal PIN on the kiosk screen — this is the same PIN generated automatically when they were added as a staff member (see How to Add Your First Staff Member). The same PIN is used for both clocking in and clocking out — the system automatically knows which one applies based on their last entry that day.

Works offline

If the kiosk loses internet connection, staff can still clock in and out — the device keeps working and syncs automatically once it's back online.

Managing kiosk devices

From the Attendance page, you can see every device linked to your business and revoke access for any device you no longer use.

Setting up a dedicated device (optional)

If you're using a tablet or spare phone as a permanent kiosk (rather than a personal phone someone uses occasionally), it helps to set it up properly:

  • Add it to the home screen — on the device's browser, use "Add to Home Screen" (iOS Safari: Share button → Add to Home Screen; Android Chrome: menu → Add to Home Screen). This makes the kiosk open full-screen, without browser address bars or navigation getting in the way.
  • Turn off auto-lock — go into the device's display settings and set it to never lock/sleep, so staff can always reach the PIN pad without unlocking the device first.

This step is entirely optional — the kiosk works fine in a normal browser tab too. It's just a nicer setup for a device that's staying in one place permanently.
